The short version

  • AutoClin is software for running a clinic. It is not a medical service, and the doctor is always responsible for care and records.
  • Your clinic’s data is yours. We use it only to run the service for you, never for advertising or to train AI.
  • Clinics get patients’ consent, including for WhatsApp messages and, separately, for AI, and send only appointment messages.
  • AI drafts and people decide: read and approve everything before it is used.
  • You can close your account whenever you like, and ask us to delete your data.

Agreement

These terms are an agreement between you and AutoClin about your use of autoclin.com, the AutoClin web app and the AutoClin doctor app (together, the “service”). By creating an account or using the service you accept them. If you accept for a clinic, you confirm you can bind that clinic to these terms.

Our Privacy policy explains how we handle information and forms part of this agreement. If you do not agree, please do not use the service.

What the service is

AutoClin is software that helps clinics manage appointments, patient records, visit notes, billing, WhatsApp reminders and related work, with AI features that draft text for a person to review.

AutoClin is not a medical service. It does not diagnose, treat or give medical advice. Clinical decisions, prescriptions and records remain the responsibility of the licensed practitioners who use it. AI output is a draft: it can be wrong or incomplete, and a doctor must read and approve it before it is used.

Accounts and access

  • Give accurate details when your account is set up, and keep your password private. Anything done through your account is treated as done by you.
  • The clinic owner decides who joins the clinic’s team and what role they have, and is responsible for removing people who should no longer have access.
  • Tell us promptly if you think your account has been misused.
  • You must be an adult, and a doctor or other practitioner must hold any registration the law requires for the care they give.

What clinics are responsible for

  • Patient information. You decide what you record about patients and why. You are responsible for having a lawful basis to record it, for showing patients a privacy notice, and for getting the consent the law requires, including consent for WhatsApp messages and, separately, for AI assistance. AutoClin helps by recording consent and providing a notice template; it is a template, so have it checked for your clinic.
  • Accuracy and care. You are responsible for the content of your records, prescriptions, invoices and messages, and for checking anything the service drafts or calculates.
  • Records the law requires. Keep any records you are required to keep, and your own copies as you see fit.
  • Requests from patients. You handle patients’ requests to see, correct or erase their information, using the tools in the app. We help where we can.

WhatsApp and other messages

  • WhatsApp messages are sent through your own WhatsApp Business account and number, set up with Meta. You must follow Meta’s terms and WhatsApp’s business and commerce policies, and keep your account in good standing.
  • Send messages only to people who have agreed to receive them, about their care. No promotions, spam or anything misleading.
  • Messages depend on Meta and on networks we do not control. We do not promise that a message will be delivered, delivered on time or read, and Meta may restrict or suspend a number.
  • Message fees charged by Meta are your responsibility unless we agree otherwise in writing.

AI features

  • AI features are optional and are off until the clinic turns them on. They are used for a patient only if the patient has agreed.
  • The AI can make mistakes. Read and correct every draft; you remain responsible for the final record.
  • Use of AI may be limited by a monthly cap, and the AI service may sometimes be unavailable.

Acceptable use

Do not:

  • use the service for anything unlawful, or in a way that harms patients, other clinics or us;
  • try to reach another clinic’s data, or probe, overload or bypass the security of the service;
  • upload malware, or content you have no right to use;
  • resell the service, or build a competing product from it, without our written agreement;
  • share your sign-in with people outside the clinic.

We may suspend an account that breaks these rules or puts others at risk, and will tell you why where we can.

Your data

Your clinic’s data stays yours. You give us permission to store and handle it to provide the service, as set out in the Privacy policy. We do not use patient information for advertising or to train AI models.

You can export your data using the app’s tools while your account is active, and you can ask us to delete it when you close your account. Data that the law requires to be kept may be kept for the period required.

We own the service and its software, design and name. These terms give you a right to use the service, not to own any part of it. If you send us feedback, we may use it to improve the service without paying you.

Fees and billing

If we offer paid plans or add-ons (for example for AI features), the price, what it includes and how it is billed will be shown to you before you buy, or agreed with you in writing. Prices are in Indian rupees and exclude GST unless stated. We will give notice before changing the price of a plan you are already on.

Invoices you create in AutoClin for your patients are your invoices. Once issued, they cannot be edited, only cancelled, so check them before issuing.

Availability and changes

We work to keep the service running and secure, but we do not promise it will always be available or error free. We may update, add or retire features, and may carry out maintenance. For a change that would seriously affect how you use the service, we will give notice where we reasonably can.

Keep a way to run your clinic if the service or the internet is down, such as a printed list of the day’s appointments.

Ending the agreement

You can stop using the service and ask us to close your account at any time. We can end or suspend your access if you break these terms, if your account is unpaid after notice, or if the law requires it. When an account ends, your right to use the service ends, and we will handle your data as described in the Privacy policy. Sections that by their nature should continue, such as ownership, liability and governing law, continue.

No warranties

The service is provided “as is” and “as available”. To the extent the law allows, we do not give any warranty that the service will meet your needs, be uninterrupted or error free, or that AI output or calculations will be accurate. Nothing in these terms limits any right you have under law that cannot be limited.

Limit of liability

To the extent the law allows, AutoClin is not liable for indirect or consequential loss, loss of profit or goodwill, or loss arising from clinical decisions, from messages that were delayed, failed or restricted by Meta or networks, or from your failure to follow these terms. Our total liability for any claim relating to the service is limited to the fees you paid us for the service in the 12 months before the claim arose, or ₹10,000 if you have paid nothing.

You agree to cover us for claims by third parties that arise from content you put into the service or from your breach of these terms, to the extent the law allows.

Governing law and disputes

These terms are governed by the laws of India. We would like to settle any dispute by talking first, so please write to us before taking formal steps. If that does not work, the courts in India will have jurisdiction.

Changes to these terms

We may update these terms. When a change matters, we will update the date at the top and tell clinics through the app or by email before it takes effect. If you keep using the service after that, you accept the new terms.
